What Is Bay Advisor?

The , is a product from EAB and is a tool for faculty and staff to identify, track and proactively work with students for campus engagement and a timely graduation. The platform enables users to search for an individual student and groups of students, communicate through email or text message, schedule appointments and review student success markers, including failed coursework, repeated coursework and GPA’s without having to pull and analyze individual transcripts. The Bay Advisor is a tool to help you scheduling advising appointments, keep track of your current course schedule, view any important advising messages, and communicate with your assigned advisor and instructors for the term. Quick Instructions: How To Schedule Your Appointment

  1. Log into and on top right corner, click "Schedule an Appointment"
  2. On the select box, select why you are making an appointment. If you are planning to schedule with your sucess team, on the right column under "Other Options"; click on your "Meet With Your Success Team"
  3. If selecting from the drop-down menu, select the service for the appointment. If selecting “Meet With Your Success Team”, select the team member you wish to meet with (on the right column).
  4. Once selected, click "Find Available Time"
  5. Find a day and time that works best with your schedule. If you want a specific person,
    you can select “View individual availabilities”.
  6. Confirm your appointment details, select how you would like to meet (virtual,
    phone or in person) and add any comments that you believe your advisor should
    know before your meeting.

Once an appointment is confirmed, you will receive a confirmation email to your Horizon email account. You will also receive a reminder email 24 hours before your scheduled appointment and a text message 2 hours before the
appointment.

Quick Instructions: How To Message An Advisor Or Faculty Member

To message an individual advisor or faculty member:

  1. Log into . On the right column, scroll down to your “Success Team” window
  2. Select the small dark envelope below the person to email
  3. A “Send E-mail Message” box will pop-up, fill out your message, be sure to include a subject to your message and in your message your name and NetID.
  4. Select “Send Message” at the bottom when you are ready for your message to be sent.
 

To message all your faculty at once:

  1. On your main page, select the faculty you wish to message by checking the left side box next to the course. If you want to select all, click the box at the top of the list.
  2. Once selected, go to Actions -> Send Message to Professor.
  3. This will open a “Send E-mail Message” box with all of your faculty listed in the To: line.
  4. Be sure to include a subject to your message and in your message include your name and NetID.
  5. Select “Send Message” at the bottom when you are ready for your message to be sent to all of your faculty.

Appointment Summaries and Notes are vital to building a campus community that cares and supports our students efforts. Please help us continue to build a repository for appointment summaries and notes so we can work to improve communication, coordination, efficiency, transparency, and a more personalized student advising experience. Bay Advisor is a great facilitator of communication with students. The Texting feature is open to all advisors, but please read the texting guidelines first.

FAQ On Progress Reports

A: All freshman are part of the progress report campaign along with specific special populations on campus that have assigned advisors. These groups combined encapsulate roughly 3800 students here at East Bay.
A: YES. Starting in fall of 2019, we opened up Alerts and Cases within Bay Advisor. As a professor, to issue an alert, which will open a case for a professional advisor such as one of our Pioneer Success Coaches to outreach to the student, please log into Bay Advisor, and using your student list, click on the student’s name. You will be redirected to the student’s profile page. From there, click “Issue an Alert” and follow the instructions on the screen. 
A:  Once completed and submitted, any at-risk reports will generate an alert which is sent via email to the students assigned advisor. The advisor will act upon the reports in a variety of ways in order to get the student the support they need for the class or advise them on different courses of action given the potential for multiple at-risk reports. Any non-at risk reports are cataloged and advisors will run a report weekly to gather the “good” information and share that with the students as well.
